Application Invited for Asst Secy and Communication Manager

1.            BFI invites applications from suitable candidates for the post of Asst Secretary and Communications Officer to handle all correspondence and documentations aspects of the Federation and its functioning. Number of positions envisaged – 1.

2.            Scope of Work.       The incumbent is expected to undertake following work for BFI over and above any other administrative functions that may come up in the course of time:-

         

          (a)            Secretarial Duties:   All administrative work for and on behalf of President/Secretary/ Treasurer in form of preparing all documents related to BFI announcements, competitions, selection trials, various policies, collection/ compilation of all types of reports and other documentation. He will be responsible for providing all necessary documents to players including merit certificates, participation certificates and leave certificates. He will ensure correct filing and storage of all correspondence digitally as well as in physical form where necessary and produce the same when asked for.

 

(b)       Communications.                 Communicate with all agencies internally as well as externally regarding any aspects of BFI functioning. This will include timely correspondence with Ministry / SAI about all aspects of participation in events as well as funding and compliance related issues. He will be responsible for coordinating with other NBO’s regarding India’s participation, event information.

 

(  c)     Team Travel and Logistics.     Coordinate al aspects of travel including ticketing, vias and insurance services, booking of accommodation, transportation, collecting of receipts for finalization of claims, Forex arrangements as required etc.

 

          (d)     Finance Work:  He will assist the Treasurer for all aspects of financial administration including communication with state office bearers regarding annual fees and updating member database. In addition, any and all work related to the infrastructure and sports equipment purchases along with the due process for purchase procedures, shipping and custom clearances.

         

          (e)     BFI Event Management and Website Coordination.             All aspects of planning for BFI events, scoring and results, generation of masterpoints and ranking points and conveying the same to respective data base managers. 

 

          (f)      Compliance.      BE responsible for timely communication and co-ordination with MYAS/ SAI for all compliance, statutory functions and accreditation/ NBO recognition related functions.

         

          (g)     Liaise with SAI and MYAS for all activities of BFI functioning/ team participation.

 

          (h)     Any other work as required by the EC.

3.      Qualifications/ Skill sets.       Applicants must be Graduates in any field with excellent written and spoken communication skills in English. In addition, they must possess high level efficiency of working on computers, especially in Office suite (MS word/excel). Candidates with experience of working with sports bodies/ organisations, knowledge of contract bridge govt financial regulations (GFR) and procurement procedures and prior experience in dealing with SAI / MYAS will be preferred.

 

4.      Remuneration.                        The work envisaged is on a full-time basis for which the incumbent must assure complete availability and agree to travel even on extremely short immediate notice. The remuneration envisaged would be negotiated during the selection process and is expected to be a fixed monthly sum commensurate with the demands of the job, ability of the applicant and stipulations of SAI/ MYAS in the above matter. No other allowances will be admissible but all expenses for travel and stay will be on reimbursable basis as per actuals on submission of proper bills.

 

5.      Period of Engagement.         The engagement will be on a contract basis which will initially be for 2 years following which the contract can be extended yearly by BFI at its discretion.

 

6.      Termination of Engagement.                       Either party reserves the right to terminate the engagement by providing 01 month notice through mutual agreement. However, in case of exceptional circumstances, BFI reserves the right to terminate the services of the incumbent with immediate notice, in which case the incumbent agrees to seek no redressal from any higher organisation/ legal recourse.

 

 

7.      Timelines.        All applications for the post must be sent to Secretary BFI by email along with relevant documentation where necessary, latest by 23:59 hrs on 15 Jan 2023. Candidates are encouraged to bring out in detail their competency and experience/ suitability for the job in their application. Selected candidates will be notified individually by email/phone about the next phase of appointment/ interview. Applications received after the due date/time will be summarily rejected. Decision of BFI selection committee on eligibility and selection of candidates will be final and binding and no representation/ correspondence will be entertained.
